The event is divided into slots of equal length, usually ten to twenty minutes, with a bell marking each change. Every participant gets their own itinerary: table, time and who they're sitting with in each slot.
It's computed before the event from the interests declared at registration, and it honors two rules: nobody sits twice with the same counterpart, and nobody is left with empty slots while a compatible pair is available.
When a participant cancels, their slot is reassigned without rebuilding the entire grid. On-floor facilitators handle last-minute changes and make sure every table starts on time.
At the close, every meeting is logged as held or not held, and that's the number that lets you compare this year's event against last year's.
